Turning a meeting recording into notes and owned action items

The call is transcribed and then reduced to three things: decisions taken, questions left open, and actions each carrying a name and a date. The transcript stays beside the note so any line can be traced back to who said it, and the chair confirms the action list out loud before it is circulated.

What to check before you ship it in India

  • A recording is personal data of every person on the call, not only of the person who booked the room. Section 4(1) permits processing only for a lawful purpose for which consent has been given or for a legitimate use, and a recorder that joins by default converts a meeting into a processing activity nobody agreed to.
  • Where the basis is consent, section 5(1) requires that the request be accompanied or preceded by a notice stating the personal data and the purpose, the manner of exercising rights under sections 6(4) and 13, and the manner of making a complaint to the Board. A tooltip saying recording is on satisfies none of the three — least of all the last, and external participants — candidates, suppliers, customers — are the ones who most often never see anything at all.
